Club Policies
Welcome to New York Pickleball Club. To keep our facility organized, efficient, and enjoyable for all players, we ask all Members and Non-Members/Guests to review and follow the policies below. By registering for membership, programs, court time, or events, you agree to these terms.
MEMBERSHIP TERMS
• Membership terms are 1 year and auto-renew unless canceled in CourtReserve or via written notice 30 days before renewal.
• Memberships are non-refundable, non-transferable, and cannot be paused or frozen.
• Cancellations may be made through the Court Reserve app or member portal, by calling the Front Desk at (845) 708-6767, or by emailing NewYorkPickleballClub@gmail.com. We will use the date/timestamp of that message to determine whether the cancellation fee applies
• Unauthorized use by a person other than the registered Account Holder will result in termination of privileges
• Any violation of club policies or behavior deemed harmful to the club or community may result in termination of membership without refund.
STAYING AT THE CLUB / SPECTATOR & SOCIAL AREAS
NYPC is designed to be more than just a place to play — it’s a place to relax, connect, and enjoy the community. Members and guests are welcome to remain at the club even when not actively playing and are encouraged to enjoy the social spaces and entertainment throughout the facility:
• Stay and watch matches; use lounge and social areas; enjoy additional activities such as ping pong and cornhole
• Outside food and beverages are permitted in designated areas only; food and drinks are not allowed on the courts
• All guests must follow club rules and staff instructions
• Misuse may result in limited access or removal if behavior affects safety, operations, or the experience of others.
WAIVER REQUIREMENT
A one-time waiver is required for all Members and Non-Members/Guests before participating in any NYPC activity taking place on or off the courts.
CHECK-IN
All players must arrive 15 minutes early to check in at the front desk before entering the courts.
Certificates, Passes & Punch Cards
• Physical certificates or passes must be presented before the start of your session.
• If using a punch/package credit, notify the front desk prior to play.
Guests
• All guests must check in, sign a waiver, and follow all NYPC policies.
• Non-member rates apply to all guests.
SCHEDULING & COURT TIME
All programs, open plays, and rentals operate on specific court-time blocks.
To ensure smooth transitions:
• Do not enter a court before your scheduled time unless you have prior permission.
• Exit courts promptly at the end of your session for the next players.
PRIVATE COURT RENTALS
• Maximum of six players per private court rental.
• All players must be listed in advance in CourtReserve to avoid check-in delays. When you reserve online, select Players from the drop-down list for each player joining you.
• All players are responsible for their portion of hourly court rental fee (based on their individual membership type).
• The full court rental fee always applies. If fewer than 4 players are on the court (even 1 or 2), the total cost will be split among the registered players based on their individual membership type. Please select the appropriate court rental option when reserving your court.
ADVANCED RESERVATIONS
• Platinum and Gold Members may reserve courts and programs up to 15 days in advance.
• Silver Members may reserve courts and programs up to 10 days in advance.
• Non-Members/Guests may reserve courts and programs up to 5 days in advance of their play date.
• Members/Non-Members/Guests may reserve courts only for their own use. Reserving courts for other members is prohibited and may result in immediate membership termination without refund.
• Court assignments are subject to change at management’s discretion.
WAITLIST POLICY
• By joining the waitlist, you are committing to participate if a spot becomes available.
• If a spot opens, waitlisted players will be automatically enrolled and will receive a confirmation email.
• If a spot becomes available within 4 hours of the event start time, all waitlisted players will be notified by email and the spot will be released for open registration on a first-come, first-served basis.
• If you no longer wish to participate, it is your responsibility to remove yourself from the waitlist.
DRESS CODE
• Court shoes with non-marking soles are required. Please change into your court shoes after entering the club to avoid bringing salt, dirt, etc. into the club and onto the courts.
• Clothing with offensive or inappropriate content is not permitted.
• NYPC apparel is encouraged!
YOUTH POLICY
Players under 18 must be accompanied by a parent or responsible adult unless participating in supervised youth programming.
PET POLICY
Pets are not permitted inside the facility. Documented service animals are welcome.
PAYMENT, BILLING & ACCOUNT POLICIES
Cashless Facility
NYPC is a cashless facility. Accepted payment methods include:
• Credit card
• E-check
• Club credit
All players must have a valid payment method saved in their CourtReserve profile.
PAYMENT & OUTSTANDING BALANCES
We process your activity fees at the time of booking and Annual membership fees will be processed on the renewal date of your membership. If a player has an outstanding fee for a session, they must do so a the check-in desk prior to play.
• All players must maintain an active payment profile.
• Any outstanding balance must be paid within 7 days, or membership and reservation privileges will be suspended until resolved.
REFUNDS
All refunds are issued as non-expiring club credit. Requests to refund to the original payment method will incur a 7% processing fee.
CREDIT CARD CHARGEBACKS
Any chargeback that is later resolved in the club’s favor will incur a $20 administrative fee.
CANCELLATION & NO-SHOW POLICIES
Standard Cancellation Window
For all programs, open play, clinics, events, courts, and private lessons:
• Cancellations 24+ hours in advance → full club credit
• Cancellations inside 24 hours → no credit issued
• Changing a reservation inside the 24-hour window = a cancellation
For Platinum Unlimited Open Play Members, Programs must be canceled at least 24 hours in advance to avoid a fee being placed on your account equal to the rate that would have been charged to our Gold “Pay as You Play” members.

No-Show Policy
• No-shows are non-refundable.
• No-shows are charged a $20 no-show fee.
• Multiple no-shows may result in loss of privileges or membership suspension.
CONDUCT & ETIQUETTE
Court Etiquette
• Be respectful of players entering before or after your session.
• Profanity, threatening language/gestures, fighting or any such actions deemed inappropriate by management will not be tolerated.
• Violations may result in immediate removal and/or membership termination.
MISUSE OF RESERVATIONS
Manipulating guest benefits, abusing booking privileges, or excessive cancellations may result in fees, restrictions, or suspension of privileges.
PHOTOGRAPHY & SOCIAL MEDIA
NYPC may take photos/video of active sessions for marketing and social media. If you prefer not to appear in media content, please inform the front desk before your session.
INCLEMENT WEATHER
If NYPC closes due to weather:
• Players with paid reservations will receive club credit.
If NYPC remains open and conditions are deemed safe:
• Standard cancellation policies apply.
Notifications will be sent through email, social media, and text messages.
