Club Policies

Welcome to New York Pickleball Club. To keep our facility organized, efficient, and enjoyable for all players, we ask all Members and Guests to review and follow the policies below. By registering for membership, programs, court time, or events, you agree to these terms.


GENERAL FACILITY POLICIES


Cashless Facility

NYPC is a cashless facility.
Accepted payment methods include:

  • Credit card

  • E-check

  • Club credit


All players must have a valid payment method saved in their CourtReserve profile.


Waiver Requirement

A one-time waiver is required for all Members and Guests before participating in any activity.


Check-In

All players must check in at the front desk before entering the courts.


Certificates, Passes & Punch Cards

  • Physical certificates or passes must be presented before the start of your session.

  • If using a punch/package credit, notify the front desk prior to play.


Guests

  • All guests must check in, sign a waiver, and follow all NYPC policies.

  • Non-member rates apply to all guests.


Scheduling & Court Time

All programs, open plays, and rentals operate on specific court-time blocks.


To ensure smooth transitions:

  • Arrive 15 minutes early to check in and warm up.

  • Do not enter a court before your scheduled time unless you have prior permission.

  • Exit courts promptly at the end of your session for the next players.


Private Court Rentals

  • Maximum of six players per private court rental.

  • All players must be listed in advance in CourtReserve to avoid check-in delays.

  • All players are responsible for their portion of hourly court rental fee (based on their individual membership type).


Advanced Reservations

  • Platinum and Gold Members may reserve courts and programs up to 15 days in advance. Silver Members may reserve courts and programs up to 10 days in advance.

  • Guests may reserve up to 5 days in advance of their play date.

  • Members may reserve courts only for their own use. Reserving courts for non-members or proxy-reserving for other members is prohibited and may result in immediate membership termination without refund.

  • Court assignments are subject to change at management’s discretion.


Dress Code

  • Court shoes with non-marking soles are required.

  • Clothing with offensive or inappropriate content is not permitted.

  • NYPC apparel is encouraged!


Youth Policy

Players under 18 must be accompanied by a parent or responsible adult unless participating in supervised youth programming.


Pet Policy

Pets are not permitted inside the facility. Documented service animals are welcome.


PAYMENT, BILLING & ACCOUNT POLICIES


Payment & Outstanding Balances

We process your activity fees every Monday for the previous 7 days (Monday – Sunday). You will receive a receipt to review when we charge your card. Note that Credits on your account are not reflected on your month-end invoice but will be deducted prior to your credit card being charged. Monthly membership fees will be processed on the following Monday after the 1stof the month and Annual membership fees will be processed on the following Monday after the renewal date of your membership.

  • All players must maintain an active payment profile.

  • Any outstanding balance must be paid within 7 days, or membership and reservation privileges will be suspended until resolved.


Refunds

All refunds are issued as non-expiring club credit. Requests to refund to the original payment method will incur a 7% processing fee.


Credit Card Chargebacks

Any chargeback that is later resolved in the club’s favor will incur a $20 administrative fee.


CANCELLATION & NO-SHOW POLICIES


Standard Cancellation Window

For all programs, open play, clinics, events, courts, and private lessons:

  • Cancellations 24+ hours in advance → full club credit

  • Cancellations inside 24 hoursno credit issued

  • Changing a reservation inside the 24-hour window = a cancellation

There are no exceptions, including illness, injury, waitlist status, or personal circumstances.


No-Show Policy

  • No-shows are non-refundable.

  • No-shows are charged a $20 no-show fee.

  • Multiple no-shows may result in loss of privileges or membership suspension.


PROGRAM & EVENT POLICIES


Leagues

  • Withdrawals 7+ days before league start → full credit

  • After league begins → no refunds

  • Substitutes may be approved by NYPC.

  • If NYPC cancels a league, players receive refunds to the original payment method.


Clinics / Lessons

  • Cancellations 24+ hours in advance → credit or reschedule

  • Inside 24 hours or no-show → non-refundable

  • No-shows are charged a $20 no-show fee.

  • Group clinics run as scheduled regardless of individual attendance.

  • NYPC reserves the right to cancel any group clinics due to low registration.


Clinic Series

  • Series run in multi-week formats (e.g., 4-week blocks).

  • Missed sessions do not receive refunds, credits, or make-ups. Please consider your availability before registering.


Tournaments & Special Events

  • Withdrawals before the registration deadline → credit minus processing fee

  • Withdrawals after the deadline → no refund

  • If NYPC cancels the event → refund to original payment method


Private Events / Parties

  • Cancellations 14+ days prior

    • Full deposit may be applied to a future event within 3 months or

    • 50% refunded to the original payment method

  • Cancellations under 14 days → deposit forfeited

  • If NYPC cancels → full refund


CONDUCT & ETIQUETTE


Court Etiquette

  • Be respectful of players entering before or after your session.

  • No foul language, fighting, or disruptive behavior.

  • Violations may result in immediate removal and/or membership termination.


Misuse of Reservations

Manipulating guest benefits, abusing booking privileges, or excessive cancellations may result in fees, restrictions, or suspension of privileges.


Photography & Social Media

NYPC may take photos/video of active sessions for marketing and social media.
If you prefer not to appear in media content, please inform the front desk before your session.


INCLEMENT WEATHER


If NYPC closes due to weather:

  • Players with paid reservations will be credited.

  • No refunds will be issued.

If NYPC remains open and conditions are deemed safe:

  • Standard cancellation policies apply.


MEMBERSHIP TERMS

  • Memberships are non-refundable, non-transferable, and cannot be paused or frozen.

  • Membership terms are 1 year and auto-renew unless canceled in CourtReserve or via written notice 30 days before renewal.

  • Any violation of club policies or behavior deemed harmful to the club or community may result in termination of membership without refund.
